For the spreadsheet crowd
You've outgrown the spreadsheet.
Nearly every collector starts with a spreadsheet — then fights it. Endless manual typing, static costs that never reflect today's market, and one wrong edit from losing years of records. Numistify does the parts a spreadsheet never could.
- — Type every field by hand, row after row
- — Static costs; no idea what it's worth today
- — No grading records, cert numbers, or ROI
- — No labels, no reports, no map
- — One bad edit and it's gone for good
- ✓ Scan a photo — AI reads it & fills the entry
- ✓ ROI: your cost vs. your estimated value, per item
- ✓ Grading, cert numbers & slab scanning built in
- ✓ 2×2 labels, PDF reports & a world map
- ✓ Cloud-synced with a 30-day recycle bin
Coming from a spreadsheet? Numistify imports from an .xlsx file in its own format — export the template, drop your collection into the columns, and bring it all in at once.
The platform
Everything your coin collection needs.
Not just a catalog — Numistify identifies, values, tracks grading, prints labels, and reports on your entire collection. From the first scan to the final sale.
AI scanning
Drop a photo or PDF — raw coins, coins in 2×2 cardboard holders, or graded slabs, single or grouped — and Numistify reads and pre-fills every field for you, even handwritten grades on the flip.
Profit & ROI tracking
Cost basis versus the estimated value you set, per item and across the portfolio, with realized P&L on everything you've sold.
Grading & certification
Track graded & raw coins, certification numbers, and services — PCGS, NGC, CAC, ANACS, ICG, PMG, and others.
Invoice grouping
Bought a lot? Group by invoice, split shared costs, and keep records that match what actually arrived.
Status & lifecycle
Mark a coin Sold when it sells — capturing sale price, fees, and net payout — or Sent for Grading when it goes to PCGS or NGC, and track it until it's back.
Print & SKU labels
Print 2×2 flip labels, SKU labels, and a full SKU Excel — your inventory ready for the shelf or the show.
eBay import & reports
Import eBay listings & transactions by CSV, and export full collection and analytics reports as PDF or XLSX.
AI coin scanning
Drop a photo. Skip the typing.
Upload photos or PDFs and Numistify identifies each item and pre-fills all the fields for you — raw coins, coins in 2×2 holders, or graded slabs, one at a time or several at once. It even reads details written on the 2×2 holder or flip, including handwritten grades.
- Graded slabs too. Scan PCGS & NGC slabs individually or up to 4 grouped in one shot.
- Single or a whole lot. One item, a 2×2 grid of up to 9, or a purchase invoice — photos or PDFs.
- Pre-fills everything. Country, year, denomination, price, and grade — ready to confirm.
Collection analytics & ROI
Know exactly how you're doing.
A full dashboard the moment you add an item — inventory, cost, and realized profit — with graded-vs-ungraded averages, win rate, and breakdowns by country, source, and channel.
- Realized P&L and ROI. Mark a coin sold and its sale price flows straight into true profit — not just paper value.
- Cost fully accounted. Avg cost, shipping, and grading fees — the real basis, not the sticker.
- Win rate & breakdowns. Winners vs losers, plus top countries, spending by source, and sales by channel.
Collection world map
See the world you've collected.
Every country you own lights up on a live map — shaded by count or value — so your coverage, and the gaps still to fill, are obvious at a glance.
- By count or by value. Shade the map by how many you own, or how much it's worth.
- Coverage by continent. Track progress across every region — and spot what's at 0%.
- Spotlight the gaps. Numistify points you to the countries you haven't collected yet.
Who it's for
Built for how you collect.
Whether you're organizing a lifetime of world coins or running a dealer table, Numistify fits the way you work.
The world-coin collector

FAQ
Coin collection software questions, answered.
What is the best way to catalog a coin collection?
The fastest way to catalog a coin collection is with software that fills in the details for you. With Numistify you upload a photo or PDF and its AI reads the country, year, denomination, and mint mark, then pre-fills the catalog entry — so you review and save instead of typing every field by hand.
How does Numistify's AI coin scanning work?
You upload a photo or PDF of your coin and Numistify's AI reads the image and identifies the country, year, denomination, mint, and grade. It works with raw coins, coins in 2×2 cardboard holders or flips, and graded slabs — even handwritten grades written on the holder. It then pre-fills a new entry with everything it found, so all you do is confirm the details and submit it into your inventory.
Does the AI assign a value or price to my coins?
Prices come straight from what you upload. If there's a dealer sticker on the 2×2, a handwritten price on the flip, or a price on the slab label, the AI reads that number and fills it in as your cost. Drop in a purchase invoice and it picks up the hammer price, buyer's fee, and shipping the same way — so what lands in your collection is exactly what you paid. When no price is shown, the field stays open for you to fill in yourself.
What are the best photo formats to use with AI scanning?
Numistify accepts JPG, PNG, and PDF files. For the most accurate results, use a clear, well-lit, in-focus photo where the coin fills most of the frame and any text on the coin, 2×2 holder, flip, or slab is readable. You can scan a single coin or group several in one image — including a 2×2 grid of up to nine coins, or up to four graded slabs.
Can Numistify track the value of my coin collection?
Yes. You set the estimated market value for each item — Numistify does not price your coins or pull live market data — and it tracks that against your cost basis, per item and across the whole collection, showing realized profit & loss and ROI on coins you've sold — so you can see what's actually appreciating instead of guessing.
Does Numistify support graded coins and certification numbers?
Yes. Numistify tracks graded and raw coins, certification numbers, and grading services including PCGS, NGC, CAC, ANACS, ICG, PMG, and others. Its AI can scan graded slabs individually or up to four grouped in a single photo.
Is Numistify good for coin dealers?
Yes. The Dealer plan supports unlimited items and includes 2×2 and SKU label printing, eBay listing and transaction import, win-rate and margin analytics, and collection and analytics reports you can export as PDF or XLSX.
What types of collectibles can Numistify catalog?
Numistify catalogs seven collectible types in one place — coins, banknotes, bullion, medals, tokens, exonumia, and other — and can display every figure in your own currency symbol.
Does Numistify store photos of my coins?
No. Photos you upload are analyzed and then discarded — Numistify never saves the image itself. The AI reads the picture to pull out the country, year, denomination, grade, and other details, and only that extracted text is stored in your collection. Nothing is written to a photo library, and your images aren't kept on our servers or in your browser after the scan completes.
Can I import my existing spreadsheet?
Yes. If your collection already lives in a spreadsheet, you can import it as an XLSX file rather than re-entering everything. Numistify provides a starter template with the exact column headings it expects, so you can paste your data in, upload it, and have every item catalogued at once — including cost, grade, certification numbers, and sale details.
Can I export my collection, or is my data locked in?
Your data is always yours to take. Numistify exports your full collection to Excel at any time — every field, split into In Stock, Sold, At Grader, and Lost sheets, with cost basis and realized profit & loss included. You can also export analytics reports and SKU label sheets. Because the export uses the same format as the import, you can move your collection back out just as easily as you brought it in.
Does Numistify handle coins bought as a lot or roll?
Yes, and it tracks them properly rather than as a single line. Enter a lot once with its quantity and Numistify works out the per-coin cost, including a proportional share of the invoice shipping. When you sell part of the lot, it records how many units went, keeps the rest in stock, and calculates profit against only the units actually sold — so a roll of fifty you sell off gradually stays accurate the whole way through.
What happens to my collection if I cancel?
Nothing is deleted. Cancelling returns you to the Free plan and your entire collection stays exactly as it was — you keep full access to view, edit, and export all of it, just with the Free plan's limits on new items and AI scans. You can export everything to Excel at any point.
Is Numistify available in other languages?
Yes. The interface is available in English, Spanish, French, German, and Portuguese (Brazil), and you can switch language at any time in Settings — your choice follows your account to any device you sign in on. Your own collection data is never translated: descriptions, notes, and source names stay exactly as you typed them. Please note that translation is still in progress — most of the app is fully translated, but some newer screens and a number of column tooltips currently remain in English. We are continuing to expand coverage.
Does Numistify work on mobile devices?
Yes. Numistify is cloud-based and runs in any web browser, and its interface adapts to phones and tablets so you can catalog, scan, and check your collection on the go. Your collection syncs automatically across every device, and a 30-day recycle bin lets you restore deleted items.
